      How to prepare and upload optimized PDFs for Joomag conversion

      Ensuring your PDF files are properly prepared before uploading them to Joomag can significantly enhance the conversion quality and overall performance.

      Follow the steps below to create or optimize your PDF files for the best results:

      1. Embed All Fonts in Your PDF

      Embedding fonts in your PDF ensures that text remains editable and displays correctly across different devices and platforms. This process converts your text into editable characters rather than vectors, facilitating a smoother conversion to Joomag's format.

      If you have access to the source files:

      For Adobe InDesign:

      1. Launch Adobe InDesign and open your project
      2. To choose a preset for export go to File > Adobe PDF Presets
      3. Choose a preset and access the font settings in the Advanced tab
      4. Ensure that the option Subset fonts when percent of characters used is less than is set appropriately (usually 100% to embed all characters)

      5. Click Export to generate your PDF with embedded fonts


      For Microsoft Word:

      1. Launch Microsoft Word and open your document
      2. Go to File > Save As
      3. Select PDF from the dropdown menu.
      4. Click on Options...
      5. Check the box labeled ISO 19005-1 compliant (PDF/A), which embeds all fonts.
      6. Finalize Save: Click OK, then Save to create your PDF with embedded fonts.

      Alternatively, ensure Embed fonts in the file is selected.

      If you do not have access to the source files

      Use Adobe Acrobat’s “Optimize” feature or similar PDF optimization tools to embed fonts directly into your existing PDF.

      Using Adobe Acrobat Pro:

      1. Launch Adobe Acrobat Pro and open the PDF you wish to optimize
      2. Navigate to Tools > Optimize PDF
      3. Click on Audit space usage to check if fonts are already embedded
      4. In the Optimize PDF window, click on Fonts and ensure that the option to embed all fonts is selected
      5. Click OK to apply the changes
      6. Go to File > Save As to save the optimized PDF with embedded fonts

      💡 Using Alternative PDF Tools:

      If you do not have Adobe Acrobat Pro, other PDF editing tools like Foxit PhantomPDF, also offer options to embed fonts. Refer to the specific tool's documentation for detailed instructions on font embedding.

      2. Verify font embedding

      After embedding fonts, it's crucial to verify that all fonts are correctly embedded in your PDF.

      Using Adobe Acrobat Pro:

      1. Launch Adobe Acrobat Pro and open your optimized PDF
      2. Go to File > Properties
      3. Navigate to the Fonts Tab then click on the Fonts tab to view a list of all fonts used in the document
      4. Ensure that each font listed has (Embedded) or (Embedded Subset) next to it. This indicates that the fonts are properly embedded

      3. Upload your optimized PDF to Joomag

      Once your PDF is optimized with embedded fonts, you can proceed to upload it to Joomag this way.

        • Use Standard Fonts: Whenever possible, use standard fonts that are widely supported to minimize compatibility issues
        • Check for Font Licensing: Ensure you have the right to embed and distribute the fonts used in your PDF
        • Compress Images Carefully: Optimize image sizes to balance quality and file size without compromising the clarity of your publication
        • Test Multiple Versions: If possible, create multiple versions of your PDF to test which settings yield the best results in Joomag
